Enter Report Access Settings
Explanation
This activity is used to specify users IDs that should have access to a
selected report in the BA export archive. The owner of a report (i.e. the user
who saved the report in the BA export archive) will have access i to it by
default. The BA super users (i.e. users with the SUPER_USER_ROLE
parameter defined in the BA System Parameters window of IFS Solution
Manager) have access to all reports in the BA export archive.
Prerequisites
In order to perform this activity:
- The report for which you want to enter report access settings must be
saved in the BA export archive.
- The user who modifies the report access user list must already have
access to the report.
- Users to be given access to the report must have been entered in the IFS
database with BA report user role access.
System Effects
As a result of this activity, the selected users will have access to the
report and they will be able to do the following.
- Modify the expire date and notes of the report.
- Open, download or remove the report from the BA export archive.
- Export external data to the report.

Procedure
To enter report access settings:
- Click
Manage Archive to open the Manage Archive
dialog box. (Note: Once you export the Excel report without BA, you will be
asked whether you want to manage the BA archive in a message. You can open
this dialog box by clicking Yes.)
- Select a report in the Report Selection tab and
then click on the Report Access tab.
- Add the required user IDs to the Users field using the List of
Values.
- Add the required user groups to the User Groups field using
the List of Values.
- Save the information.
