Export Excel Report without BA
Explanation
This activity is used to save and/or email the resultant excel report without Business Analytics functionality. You can save the excel report on the local disk, send the excel report to email recipient (MS
Office Outlook) or do both.
The Excel report without BA (Business Analytics)
functionality is exported for two main purposes.
- To distribute the report to users who do not have IFS/Business
Analytics installed.
- To allow users to enter new data or modify existing data in the
report. The modified report can be imported back to the BA report and then moved
to the IFS database using the writeback feature of BA.
Once the Excel report is exported you can save the executed report with BA
functionality in the BA export archive and/or in the local disk. This BA report can be
used as the base to import external data from an updated version of the exported
Excel report without BA. The saved reports can also be used for later reference.
Prerequisites
In order to perform this activity:
- An executed BA report must exist in IFS Business Analytics.
- If the excel report is exported in order to be used for later
import, the original BA report should have one or more writeback enabled cells
(since data can be imported only for writeback enabled cells).

If you export the Excel report for later import,
the BA report will also be saved in the BA export archive irrespective of the method, with
a default expire date of sixty days.

Procedure
To
export excel report:
- Execute the BA report you want to export.
- Click
Export in the IFS Business Analytics Ribbon to open the Export to Excel Report
dialog box.
- Select either
Export to Excel Report
option or the
Export to Excel Report for Later Import
option in the header of the dialog box.
- Select
either Save on Disk, Save on Disk and Email, or Email
in the Export Excel Report without BA tab as required.
- If you selected either Save on Disk
or Save on Disk and Email, click Browse to specify the
location in disk where you want to save the report.
- Change
the
default File Name if required.

Click Export if you do not want to save the Excel report with BA. If
you want to save the Excel report with BA, click on the Save BA Report
tab. (Note: If you selected
Export to Excel Report for Later Import option in the header of the
dialog box, the report is automatically saved in the BA export archive.
Therefore, you will be required to use the Save BA Report tab
only if you want to save the report with BA in your local disk.)

Select Save BA Report to Archive and/or Save BA Report to Disk
check boxes depending on where you want the report saved.
- If you selected the Save BA Report to Disk check box, enter the
location on disk where the report should be saved in the File Path
field. You can browse for the relevant location.
- Modify the report name suggested in the Report Name field if
required.

Click Export.
