Report Shop Order Operations
Explanation
Use this activity to report the time and quantity for a shop order operation. It can be the time needed to set up an operation
before manufacturing begins or the time of the actual manufacturing. The status of operations changes as you report them. This
lets you report as many or as few steps as you desire, depending on the degree of detail planned in operation reporting. You can
report more manufacturing or setup time than the default value.
If the operation is connected to a component line and that component line is
not issued prior to reporting the operations, it will be issued using the
backflush feature. If any of the components issued by the backflush
feature is catch unit enabled, this activity can be performed only if the full quantity in the inventory part location is issued.
If only a part of the quantity in an inventory location is issued, you will have to
manually issue the components before reporting the operation.
This activity contains a Security Checkpoint which can be activated by an
administrator. With an activated security checkpoint on a function you will have
to authenticate yourself again in order to fulfill the function. Additionally,
whenever a security checkpoint is successfully passed a security checkpoint log
is written, creating an audit trail of what is done.
Prerequisites
The shop order must be in at least the Released status.
System Effects
- As a result of this activity, depending on how you perform operations reporting, the system changes the status of the
operation to Setup Started, Setup Complete, Partially Reported, or
Closed. When you report that an operation is complete, the
planned scheduling of the operation is reset so that the operation is released for another workload if the work center still has
capacity. Operation-linked material which has not been issued is issued automatically.
Work In Process (WIP) transactions are created.
- If the Adjust Schedule Due To Shop Floor Reporting
check box has been selected in the Scheduling
Basic Data/Shop Order Scheduling/Scheduling Server tab, the schedule will be adjusted to
reflect the reported time.
- If Buffered Operations Reporting is enabled and the Adjust Schedule Due To Shop Floor Reporting
check box in the Scheduling Basic Data/Shop
Order Scheduling/Scheduling Server tab has been selected, at the
next execution of buffered operations reporting the scheduling server will
adjust the operation time due to remaining quantity and:
- if Prioritize Reported Operation was chosen
- the reported operation is given priority and scheduled as close as
possible to now time.
- if Keep Scheduled Operation Sequence was
chosen - the schedule will be updated without altering the previous schedule
sequence. Subsequent operations in the same order structure will move closer to the reported operation
in order to fill any capacity gaps which occur immediately after the reported operation.
- When having operation-linked material line with a connected supply pegging, the issue will reduce the pegged quantity by the
same quantity that was issued. However, if there are more than one supply pegged to the same demand you will be notified to
manually adjust the peggings before the issue can be performed.
- If the
Report Previous Operations check box has been selected in the
Approve Operation dialog box, previous operations will be reported up the level reported on the current operation excluding operations set to parallel with the current operation.
- For project connected shop orders in
IFS/Project, the Labor, Set-up Labor, Machine and Set-up
Machine Hours will
be reported to the project as actual hours according to the project cost
elements that have been defined in the Posting Control setup.

Procedure
Report Operations - Setup Started:
- Open the
Shop Order window.
- Right-click and then click Report. The
Report Shop Order Operation window opens.
- Click the
Operations tab, then specify how much of the setup time is reported for the operation in the Mach Setup to Report and Labor Setup to Report
fields.
- Enter zero (0) in the Mach to Report, Labor to Report and Qty to Report
fields.
- Select the line, right-click and then click Report Time, or save. The status of the operation changes to Setup
Started.
Report Operations - Setup Complete:
- Open the
Shop Order window.
- Right-click and then click Report. The
Report Shop Order Operation window opens.
- Click the Operations tab and leave the default value in the Mach Setup to Report and Labor Setup to Report
fields for the operation. The default values always show the remaining setup time.
- Enter zero (0) in the Mach to Report, Labor to Report and Qty to Report
fields.
- Select the line, right-click and then click Report Time, or save. The status of the operation changes to Setup
Complete.
Report Operations - Partially Reported:
- Open the
Shop Order window.
- Right-click and then click Report. The
Report Shop Order Operation window opens.
- Click the
Operations tab, then scroll to the Qty to Report
field and enter the quantity of parts you want to report for the operation. The default value shows the remaining quantity.
- Select the line, right-click and then click Report Time, or save. Manufacturing and labor time are reported automatically based on the quantity of parts reported. The results of the calculations are shown in the Reported Mach and Reported Labor
fields. The status of the operation changes to Partially Reported.
Report Operations - Closed:
- Open the
Shop Order window.
- Right-click and then click Report. The
Report Shop Order Operation window opens.
- Click the
Operations tab, then select the line of the operation you want to report.
- Right-click and then click Report Time, or save. The line is reported with the values supplied by the system, which is the quantity remaining to be reported. The status of the operation changes to
Closed.
Note: If Shop Order Control Plan check box is selected in
Mandatory Part,
Mandatory Site or
Mandatory
Part/Site tab in
Quality Basic Data window, but no control plan exists, when the
operation status changes to Closed, a warning
message will appear.
If Shop Order Create Analysis check box is selected in
Mandatory
Part,
Mandatory Site or
Mandatory Part/Site tab in
Quality Basic Data window, but no analysis exists, when the operation
status changes to Closed, a warning message will appear.
If Shop Order Create Analysis check box is selected in
Mandatory Part,
Mandatory Site or
Mandatory Part/Site tab in
Quality Basic Data window, and analyses exist but not confirmed, when the
operation status changed to Closed, a warning message
will appear.
Report more Machine Time, Machine Setup Time, Labor Time, Labor Setup Time, or Quantity:
- Open the
Shop Order window.
- Right-click and then click Report. The
Report Shop Order Operation window opens.
- Select the
Operations tab, then specify more setup time in the Mach Setup to Report or Labor Setup to Report
fields.
- Specify more manufacturing time in the Mach to Report or Labor to Report
fields.
- Specify more quantity in the Qty to Report fields.
- Right-click and then click Report Time, or save.
Operations reporting can also be done using the
Approve Operation dialog box that can be accessed through the approve
operation option in the Shop Floor Workbench window:
- In the Shop Floor Workbench
window, select
the operation on which reporting should be done.
- Click the Approve Operation option to open
the dialog box.
- In the Operation Report section, enter the
quantity you wish to report in the Qty to Report field.
- In the Time section, enter the Machine
Time, Machine Setup Time, Labor Time, Labor Setup
Time that you wish to report.
- If labor time or labor setup time is reported, specify the crew size
that worked on the operation. If the site which the operation belongs to is
run in employee reporting mode you can optionally specify the employees that
worked on the operation by selecting the Report Employees check box
and enter a line for each employee. If a team is entered in Shop Floor
Workbench
the current team members will be displayed and may not be changed.
- Click OK.
Note: The Approve Operation dialog
box can also be used for reporting outside operations. Outside operation
backflush will be used automatically to backflush the ship work in progress (WIP)
to the supplier. Purchase order arrival activities to report the preceding
outside operations on a routing with sequential outside operations, can be done
if the Send To Next Supplier option has been selected for the preceding
outside operations. For more details about the Send To Next Supplier
option, refer to the Subcontracting topic description.
Operation reports can also be reported using Add Operation Result
dialog box available from Shop Floor Workbench/Operation Reports tab and
through the Add Operation Result option in the Time - Card -
Day/Mfg Result tab and Operation and Indirect
Reports window.
- In the Shop Floor Workbench/Operation Reports tab right-click
and click the Add Operation Results option. To open this dialog box
from the Time - Card - Day window, right-click on the
Mfg Result tab and then click Add Operation Result.
- In the Operation ID field, use List of Values to choose which
operation to register the reports on.
- In the Date field, enter the date on which the reports should be
applied.
- In the Qty Completed field enter the quantity to report as
completed.
- In the Qty Scrapped field enter the quantity to report as
scrapped and enter the reason in the Scrap Reason field.
- If labor time should be reported, Crew Size must be specified. If
the site is run in employee reporting mode you can instead specify the
employee that worked on the operation in the Employee field.
- If applicable enter a team that the time should be registered on.
- Enter the time you want to report in the Mach Setup, Mach Time,
Labor Setup and Labor Time fields.
- Click OK.
Note:
If there is a difference between the employee's reported manufacturing hours and
the attendance hours, when the transaction is
authorized, a new indirect transaction record with the Diff Auto Filled
check box selected will be created to balance the
difference.
