Enter Direct Cash Transaction Mixed Payment

Explanation

This activity is used to enter direct cash payments. Direct cash payments are payment transactions which do not affect either the Accounts Receivable or the Accounts Payable ledgers (e.g.  tax payments, refunds and transfers of money between cash accounts). For the direct cash payment one or several manual postings needs to be entered which can also support accounts and code parts of other companies. A tax code can be entered to calculate and post taxes.

As a result of this activity, the direct cash payment amount will be included in the voucher created in the hold table once the mixed payment is approved. The direct cash payment amount including the tax amounts will be debited based on the posting rules defined for PP1 posting type. The payment amount excluding tax amounts will be posted to account(s) manually selected by you. The tax amounts calculated will be posted based on the posting rules defined for the posting types PP44, PP45, PP46 and PP47.

If the manual posting includes accounts of another company, the multi-company general payment and separate vouchers for each involved company will be created. The voucher will also include inter-company postings for the cash paying/receiving company and the affiliated company based on the posting rules defined for the posting types PP22 and PP23. If tax is included in the manual posting for another company, the tax is posted in the allocated company.

Procedure

To enter a direct cash payment:

  1. Open the Mixed Payment window and query for the mixed payment in which you you want to include the direct cash payment.
  2. Create a new record in the Transactions tab.
  3. Select Direct Cash Payment  for the Payment Transaction field.
  4. Enter the direct cash payment amount in the Amount field.
  5. Enter the relevant tax code for the transaction in the Tax Code field, if necessary for the transaction.
  6. Enter a quantity in the Quantity field if you want the quantity to be suggested in the manual posting line(s).
  7. Save the information.
  8. Create a new record in the Manual Postings tab.
  9. Enter the account to which the direct cash payment should be posted in the Account field.
  10. In the Amount field, enter the direct cash payment amount  you want to post to the account selected in the previous step.
  11. Enter or modify the quantity in the Quantity field if applicable or required by the code part demands of the account. Note: The sign of the quantity is not set automatically but must be entered manually as needed.
  12. Repeat steps 8 - 11 to post the direct cash payment amount to different accounts.
  13. Save the information.

To enter a direct cash payment with an account of another company:

  1. Open the Mixed Payment window and query for the mixed payment in which you want to include the direct cash payment.
  2. Create a new record in the Transactions tab.
  3. Select Direct Cash Payment  for the Payment Transaction field.
  4. Enter the direct cash payment amount in the Amount field.
  5. Enter the relevant tax code for the transaction in the Tax Code field, if necessary.
  6. Enter a quantity in the Quantity field if you want the quantity to be suggested in the manual posting line(s).
  7. Save the information.
  8. Create a new record in the Manual Postings tab.
  9. Enter in the Company field, the company which should be debited or credited with the code string of the manual posting.
  10. Enter the account of the specified company to which the direct cash payment should be posted in the Account field.
  11. In the Amount field, enter the direct cash payment amount  you want to post to the account selected in the previous step.
  12. Enter or modify the quantity in the Quantity field if applicable or required by the code part demands of the account. Note: The sign of the quantity is not set automatically but must be entered manually as needed.
  13. Repeat steps 8-12 to post the direct cash payment amount to different accounts.
  14. Save the information.

To select planned non supplier payments for the direct cash payment:

  1. Open the Mixed Payment window and query for the mixed payment in which you want to include the planned non supplier payment.
  2. Click the Transactions tab.
  3. Right-click on the table and then click Open Planned Non-Supplier Payments to open the Open Planned Non Supplier Payments dialog box.
  4. Populate the dialog box. Select one or more non supplier payments you want to include in the mixed payment and click OK. A direct cash payment will be created for each non supplier payment you selected.
  5. Make any modifications to the direct cash payments created if required and save the information. The Manual Postings tab will be updated with the account specified for the non supplier payment in the Non-Supplier Payments window, as well as the payment amounts.
  6. Modify the manual posting information of the non supplier payment if required.
  7. Save the information.

To select planned non supplier payments of another company for the direct cash payment:

  1. Open the Mixed Payment window and query for the mixed payment in which you you want to include the direct cash payment.

To select planned non supplier payments of another company for the direct cash payment:

  1. Open the Mixed Payment window and query for the mixed payment in which you want to include the planned non supplier payment.
  2. Click the Transactions tab.
  3. Right-click on the table and then click Open Planned Non-Supplier Payments to open the Open Planned Non Supplier Payments dialog box.
  4. Select the Multi-Company check box in order to display the planned non supplier payments of other companies when you populate the Open Planned Non Supplier Payments dialog box the next time or if you query in this dialog box.
  5. Populate the dialog box. Select one or more non supplier payments you want to include in the mixed payment and click OK. A direct cash payment will be created for each non supplier payment you selected.
  6. The Manual Postings tab will be updated with the company and account specified for the non supplier payment, as well as the payment amounts.
  7. Modify the manual posting information of the non supplier payment if required.
  8. Save the information.
