Receive Customer Order Change Request
Explanation
This activity is used to receive a change request for a quotation request or customer
order, i.e., changes that the customer has made in the purchase order/purchase order
request and sent by EDI/MHS.
If you want to reduce the sales quantity on an existing order line that has
manually pegged supplies connected to it, you must first remove or modify the
pegging. You can also increase the quantity, but you will be notified that the
pegged quantity does not fulfill the demand.
Prerequisites
- You must have set up the EDI/MHS messages regarding customer order changes (ORDCHG)
in the
Customer/Message Setup tab.
- A change request, i.e., a message of type ORDCHG, must have been sent from the customer.
- The quotation or customer order must have been created and currently not have either
Invoiced/Closed or Canceled status.
System Effects
- The changes approved will be transferred to the corresponding quotation or
customer order in your system. The status of the message will be Processed. The changes on
quotation lines can be viewed in the
Sales Quotation/Quotation Lines
tab by
choosing Quotation Line History... from the Operations menu when the changes have been
processed. The changes on customer order lines can be viewed in
Customer Order/Order
Lines tab by choosing Order Line History... from the Operations menu when the
changes have been processed.
- The approved changes will be propagated to any
existing pegged supply orders, according to the replication logic. Examples
of changes that triggers a replication are cancellation, quantity change,
date changes, delivery address changes when the order line is a direct
delivery.

Procedure
If automatic EDI approval is used, i.e., the Automatic EDI Approval
check box is selected on firstly, the site-customer combination table on the
Site/Sales and
Procurement/Inter-Site Defaults tab, next the header of the Site/Sales and
Procurement/Inter-Site Defaults tab or the Customer/Order/Message Defaults tab:
- The changes will be done automatically. If you want to check for messages, open the
Incoming Change Requests for Customer Orders window and populate or query for the
messages of interest to you. To view the details, select the desired line and choose
Incoming Change Request... from the Operations menu.
- To view changes in the header, including the
Order Head tab and the
Order
Address tab, choose View Changes... from the Operations menu when the cursor is in
the header or in one of the tab windows. To view changes on the order lines, choose View
Changes... from the Operations menu when the line is marked. It is only possible to view
one line at a time.
If automatic EDI approval is not used:
- Open the Incoming Change Requests for Customer Orders window or
the Incoming Change Request for Customer Order window, then populate or
query for the messages of interest to you. If you are in the
Incoming
Change Requests for Customer Orders window, mark the line of the message you want to
study and choose Incoming Change Request... from the Operations menu. The
Incoming
Change Request for Customer Order window opens.
- Check the information received and change/add information if desired. To view changes in
the header, including the
Order Head tab and the
Order Address
tab, choose View Changes from the Operations menu when the cursor is placed in the
header or in one of the tab windows. To view changes on the order lines, choose
View
Changes from the Operations menu when the line is marked. It is only possible to view
one line at a time. Only changes made to lines with status of Changed or
Added will be
transferred to the customer order.
- Approve the entire message by choosing Approve from the Operations menu. If you want to
approve a single line, mark this line and choose Approve from the Operations menu. It is
possible to cancel the message by choosing Cancel from the Operations menu; then, no
changes will be transferred to the quotation or customer order.
