Reallocate Resources

Explanation

Use this activity to reallocate or clear allocations for maintenance employees and/or tools & facilities that have been allocated to execute a work order and/or work order operations.

This activity is typically used when;

  1. Reallocating a maintenance employee to execute a work order.
  2. Reallocating one or several maintenance employees to execute a work order operation
  3. Reallocating one or several tools and facilities required to execute a work order
  4. Reallocating one or several tools and facilities required to execute a work order operation
  5. Clearing an allocation for a maintenance employee to execute a work order.
  6. Clearing one or several allocations for maintenance employees to execute work order operations.
  7. Clearing one or several allocations for tool and facilities required to execute a work order
  8. Clearing one or several allocations for tool and facility required to execute a work order operation
  9. Reassigning a work order from one mobile user to another

Prerequisites

System Effects

Reallocating a work order to be executed by one maintenance employee
As a result of this activity, the entire work order will be reallocated to one single maintenance employee . The old work order level allocation will be removed and a new work order level allocation will be created using a default operation with the operation no "0".For the new default operation also a new allocation with Allocation From and Allocation To will be created against the selected employee and the selected work order.  The work order will be set to Operations follow Work Order Status. Furthermore the allocated employee signature will be set in Executed by, the Fixed Executed by flag will be checked and the selected start date of the allocation will be inserted into the Fixed Start Date. If there are operations present on the work order these will also be allocated to the executed by on the work order. These allocations will however not receive any any Allocation From and Allocation To or any Allocated Hours since all the allocated hours will be allocated for the default work order operation no "0".

Clearing an allocation for a work order to be executed by one maintenance employee
As a result of this activity, the entire work order will be unallocated. The work order allocation will be removed and the employee signature will be removed from the Executed by along with the Fixed Executed by flag. If there are operations present on the work order they will also be unallocated.

Reallocating one or several work order operations to be executed by one or several maintenance employees 
As a result of this activity, one or several multi-line level allocations with an Allocation From and Allocation To will be created against the selected employee/employees and the selected operation.

Clearing one or several allocations for work order operations to be executed by one or several maintenance employees
As a result of this activity, any allocations against the selected operation will be cleared.

Reallocating a work order or a work order operation to be executed using one or several tools and facilities required 
As a result of this activity, one or several allocations with Allocation From and Allocation To will be created against the selected tool & facility ID and the selected work order/operation.

Clearing one or several allocations for a work order or a work order operation to be executed using one or several tool & facilities required 
As a result of this activity, any allocations against the selected tools and facility row will be cleared.

Procedure

Follow this procedure to reallocate a work order or a route work order to a maintenance employee in Allocate Resource:

  1. Right-Click on a record in Active Work Orders, Active Routes or on the header in Service Request, Prepare Work Order, Report in Route window and select Allocate Resource… .
  2. This will open the Allocate Resource… dialog.
  3. Press the button Reallocate
  4. Maintenance employees that matches the criteria’s of the selected work order are displayed in the lower pane together with their current schedules and allocations when selecting option "All" from the dropdown menu. If there are operations defined on the work order with multiple different Maintenance Organizations, Teams or Crafts defined then the work order operations must be allocated to several different employees and the work order can therefore not be allocated to one single maintenance employee. However if the operations all have the same Maintenance Organizations, Teams or Crafts defined, then all the work order operations will be possible to allocate to one single maintenance employee  selecting the option "All".
  5. Select the work order allocation and drag it to a slot in the desired schedule. 
  6. In order to adjust the duration of the allocation, select the allocation and drag either of the ends of the allocations to extend the allocations backwards or forwards in time.
  7. Click Save.

The work order will be set to Operations follow Work Order Status. Furthermore the allocated employee will be set in Executed by, the Fixed Executed by flag will be "checked”
and the Start time of the allocation start will be inserted into the Fixed Start Date. A work order level allocation will be created using a default operation with the operation no "0"  and also an allocation with Allocation From and Allocation To will be created against the selected employee and the selected work order. If there are operations present on the work order these will also be allocated to the executed by on the work order. These allocations will however not receive any any Allocation From and Allocation To or any Allocated Hours since all the allocated hours will be allocated for the default work order operation no "0".

Follow this procedure to reallocate a work order or a route work order to a maintenance employee in Resource Monitoring Gantt:
 

  1. Populate the Resource Monitoring Gantt in a way so that the allocation that should be reallocated is visible.
  2. Select the allocation for the work order or route work order you wish to reallocate.
  3. Drag the allocation to the desired time in a different employees schedule.
  4. The re-allocation is automatically saved.

Please note that in opposite to the Allocate Resource dialogue the Resource Monitoring Gantt allows the user to do a quick re-allocation which ignores all demands and restrictions of the work order.
If the user wants to reallocate the work Order to an employee that has the necessary maintenance organization, team, craft, license, competency requirements at time that complies with the work order date constraints (Request Start, Late Start, Requested Finish and Fixed Start) the user can instead of dragging and dropping the allocation select right mouse button option Allocate Resource on the work order which will bring up the Allocate Resource dialog.

Follow this procedure to clear an allocation created against a work order or a route work order for a maintenance employee in Allocate Resource:

  1. Right-Click on a record in Active Work Orders, Active Routes or on the header in Service Request, Prepare Work Order, Report in Route window and select Allocate Resource… .
    This will open the Allocate Resource… dialog.
  2. Press the button Clear.
  3. Click Ok.

The allocated employee signature will be removed from Executed by and the Fixed Executed by flag will be "unchecked”.
The work order level default operation with the operation no "0"  with its allocation will be cleared.If there are operations present on the work order these will also get their allocations cleared.

Follow this procedure to clear an allocation created against a work order or a route work order for a maintenance employee in Resource Monitoring Gantt:

  1. Populate the Resource Monitoring Gantt in a way so that the allocation that should be cleared is visible.
  2. Select the allocation and select the right mouse option Clear.
  3. The clear operation is automatically saved. The allocation will now disappear from the Resource Monitoring Gantt.

Follow this procedure to reallocate a maintenance employee to a work order operation in Allocate Resource:

  1. Right-Click in the header of Service Request or Prepare Work Order or select one or several an individual operations in the Job/Operations tab or the Operations tab in Prepare Work Order and select Allocate Resource… . The Allocate Resource… dialog will open.
  2. Press the button Reallocate
  3. Maintenance employees that matches the criteria’s of the selected operation's are displayed in the lower pane together with their current schedules and allocations.
  4. Select the operation allocation and drag it to a desired slot in the schedule. (If there  is a requirement for multiple persons, several bars will appear and the user will then have to drag and drop several times).
  5. Click save.

One or several multi-line level allocations with an Allocation From and Allocation To, will now be created against the selected employee's and the selected operation's. The previous allocations will be cleared.

Follow this procedure to reallocate a maintenance employee to a work order operation in Resource Monitoring Gantt:

  1. Populate the Resource Monitoring Gantt in a way so that the allocation that should be reallocated is visible.
  2. Select the allocation for the work operation you wish to reallocate.
  3. Drag the allocation to the desired time in a different employees schedule.
  4. The re-allocation is automatically saved.

Please note that in opposite to the Allocate Resource dialogue the Resource Monitoring Gantt allows the user to do a quick re-allocation which ignores all demands and restrictions of the operation.
If the user wants to reallocate the work order to an employee that has the necessary craft, license,  competency requirements at time that complies with the work order date constraints (Request Start, Late Start, Requested Finish and Fixed Start) the user can instead of dragging and dropping the allocation select right mouse button option Allocate Resource on the work order which will bring up the Allocate Resource dialog.

Follow this procedure to clear an allocation created for work order operations against one or several maintenance employees in Allocate Resource:

  1. Right-click in the header of Service Request or Prepare Work Order or select one or several an individual operations in the Job/Operations tab or the Operations tab in Prepare Work Order and select Allocate Resource… . The Allocate Resource… dialog will open.
  2. Press the button Clear.
  3. Click Ok.

One or several multi-line level allocations will be cleared

Follow this procedure to clear an allocation created against a work order operation for a maintenance employee in Resource Monitoring Gantt:

  1. Populate the Resource Monitoring Gantt in a way so that the allocation that should be cleared is visible.
  2. Select the allocation and select the right mouse option Clear.
  3. The clear operation is automatically saved. The allocation will now disappear from the Resource Monitoring Gantt.

Follow this procedure to reallocate a tool/facility to a work order or work order operation in Allocate Resource:

  1. Navigate to Tools & Facilities tab in Prepare Work Order and select Allocate Resource… for the lines you wish to reallocate . The Allocate Resource.. dialog will open.
  2. Press the button Reallocate
  3. Tools and facilities that matches the criteria’s of the selected tool and facilities row will be displayed in the lower pane together with their current schedules and allocations.
  4. Select the tools and facilities allocation and drag it to a slot in the desired schedule for the desired tool/facility. Click save.

A Tool/Facility ID will be set on the tool and facility line along with an Allocation From and Allocation To will be created against the selected line.

Follow this procedure to reallocate a tools/facility allocation to a tool/facility in Resource Monitoring Gantt:
 

  1. Populate the Resource Monitoring Gantt in a way so that the allocation that should be reallocated is visible.
  2. Select the allocation for the tools/facility line you wish to reallocate.
  3. Drag the allocation to the desired time in a different tools/facility schedule.
  4. The re-allocation is automatically saved.

Please note that in opposite to the Allocate Resource dialogue the Resource Monitoring Gantt allows the user to do a quick re-allocation which ignores all demands and restrictions of the work order.
If the user wants to reallocate tools/facility line to a tool that has the necessary tool/facility Type, maintenance organization that complies with the work order date constraints (Request Start, Late Start, Requested Finish and Fixed Start) the user can instead of dragging and dropping the allocation select right mouse button option Allocate Resource on the work order which will bring up the Allocate Resource dialog.

Follow this procedure to clear an allocation created for a work order or a work order operation against tools & facilities in Allocate Resource:

  1. Navigate to Tools & Facilities tab in Prepare Work Order and select Allocate Resource… for the lines you wish to clear . The Allocate Resource.. dialog will open.
  2. Press the button Clear.
  3. Click Ok.

The Tool/Facility ID will be cleared on the tool and facility selected line.

Follow this procedure to clear an allocation created  for a work order or a work order operation against tools & facilities in Resource Monitoring Gantt:

  1. Populate the Resource Monitoring Gantt in a way so that the allocation that should be cleared is visible.
  2. Select the allocation and select the right mouse option Clear.
  3. The clear operation is automatically saved. The Allocation will now disappear from the Resource Monitoring Gantt.

Once a planner/dispatcher/service manager/ call center user has reallocated a set of allocations he or she or might want to transfer ownership of the affected work order to a different mobile user.

Follow this procedure to reassign an allocated work order to a different mobile user in Resource Monitoring Gantt:

  1. Populate the Resource Monitoring Gantt in a way so that the work order allocation that should be reassigned is visible.
  2. Select the work order associated allocation for which the work order should be reassigned and select the right mouse option Reassign.
  3. The Transfer to Mobile dialog will now appear, use list of values to select a valid value.
  4. Press Ok.
  5. The work order will get reassigned to the new Executed by and transferred to the executed by's mobile automatically.

The Planner/dispatcher/service manager/ call center user also sometimes has to manage and/or control the execution of work orders at the same time as monitoring resources. For this purpose it is also possible for the user to promote and demote work orders in Resource Monitoring Gantt.

Follow this procedure to change the status of an allocated work order in Resource Monitoring Gantt:

  1. Populate the Resource Monitoring Gantt in a way so that the allocation that should be promoted/demoted is visible.
  2. Select the Work Order associated allocation for which the work order status should be changed and select the right mouse option Status and select the preferred status.
  3. The work order status will now get promoted or demoted.
